Information for interested parties and new exercise instructors

We are delighted that you have found your way to us. Here you will find some basic information to get you started.

University sports are enshrined in the State Higher Education Act and are therefore part of the educational mandate of universities. Throughout the year, we organise a total of approximately 800 sports and exercise programmes in over 80 sports and competition formats for almost 11,000 students and approximately 6,300 employees.

We are looking for dedicated instructors. It would be great if you already have qualifications, but we will also support you in acquiring them.

Frequently asked questions, getting started and further information

We are almost always looking for dedicated trainers. It would be great if you already have qualifications, but we will also support you in obtaining them.

However, it is usually sufficient if you have experience in and enthusiasm for a sport. Just get in touch with us!

We will first arrange an appointment with interested parties to get to know each other and clarify, among other things, the basic possibilities for cooperation and the classification of your qualifications.

If you have decided to work with us, please let us know your preferred courses before each semester. We need the following information from you:

   1. Sport, beginner/advanced
   2. Course day and time (please indicate alternative days/times so that we can plan better)
   3. Indoor/outdoor, sports facilities (please indicate multiple options or alternative locations)
   4. Days on which the course is scheduled to be cancelled, e.g. due to holidays
   5. Maximum number of participants
   6. Brief course description and a photo, if not already available

After review and in consultation with you, we will sign a contract with you each semester. You can find this and further information under Information and Forms for Instructors.

If possible, 8 weeks before the next programme start (semester or the next non-teaching period). We would like to get to know you first and then need some time to take care of the formalities and include your offers in our planning.

Ultimately, all course-related arrangements should be finalised four weeks before the course starts so that we can complete the course programme in good time.

Teaching period, winter semester: October to the end of January/beginning of February (end of the Teaching period)

Non-Teaching period, winter semester: February to the end of March/beginning of April

Teaching period, summer semester: April to July (end of the Teaching period)

Non-Teaching period, summer semester: July to the end of September/beginning of October

The length of each session always depends on the offer. Most courses last 60 or 90 minutes. We also have courses that last only 45 minutes or, like the ‘active break’, only 15 minutes. We discuss this with the instructors in advance.

In the fitness studio, on the other hand, we agree on ‘working hours’ with the instructor, which are usually longer.

A course usually takes place once a week. Depending on the programme period (see above), a weekly course has 10 to 13 sessions during the teaching period and 8 to 10 sessions during the non-teaching period. If you would like to offer fewer sessions, please let us know.

In addition to these course formats, we offer other formats that can range from half a day or a weekend, e.g. workshops, to a week, e.g. excursions.

The basis for your work is the fee contract. It must be signed and submitted before the course begins.

In it, we specify the remuneration. This depends on your qualifications and whether they apply to the courses you teach. You can find a breakdown of our fee structure in our Handbook for Instructors [de].

After the course has ended, you will send us an invoice for the services rendered. You can find an invoice example here under point 8. You will submit the attendance list and the instruction certificate as attachments. See also Information and Forms for Instructors.

We will consult with you and support you in terms of how your course fits into our programme.

You have a free hand when it comes to content and structure. Your core task is to plan and deliver your courses independently.

In learning-oriented courses that aim to teach techniques and skills, the individual lessons should build on each other in order to achieve a learning effect among the participants.

Technical, didactic and methodological aspects are just as important as a general goal (e.g. learning something, promoting health, playing, having fun, increasing fitness or strength).

You should consider in advance what level of performance the participants should have and adapt your course accordingly.

Once you have planned everything, you coordinate your concept with us and draft an ‘announcement text’.

Required materials and equipment can be used by arrangement, subject to availability. In individual cases, we can also procure new materials. If you have any ideas or require anything, please contact us.

The assembly of equipment and the collection of required materials, as well as the proper dismantling of the equipment and the appropriate storage of the materials with the help of the participants, must be carried out within the course time.

Damage to sports equipment, technical facilities or in sports halls/rooms must be reported immediately to University Sports so that we can take the necessary measures, e.g. procure replacements or arrange for repairs.

For some halls, you will need a key or a ‘key card’. We will discuss this with you in advance.

We have installed electronic locks in our own hall complex at Fallada-Str. 11. You will need a card for this. Students and employees of the university can also use their university card.

We will then activate your (possibly new) card for the relevant rooms.

If you need a key, you can borrow it from the office before the start of the course period by making an appointment in advance.

To do this, you must fill out a form on site confirming that you have received the key. Please return the key to the office immediately after the last course date.

If you are unable to teach a course on one or more dates, for example due to illness or holiday, please let us know immediately and be sure to inform the participants of the cancellation in good time.

However, you may also appoint a qualified substitute so that the course does not have to be cancelled. In some cases, it is also possible to agree on an alternative date with the participants. However, both approaches must be agreed with us in advance.
